Why this role exists
A medical recruitment desk runs on momentum. Every hour a consultant spends chasing a registration certificate or rebuilding a candidate record is an hour not spent placing. A coordinator absorbs that administrative load so the desk keeps moving.
This role is built for medical and healthcare recruitment specifically, where credentialing and compliance are not optional and a dropped document can stall a placement for weeks.
A day in the role
- Open the shared inbox, triage enquiries, and route them to the right consultant.
- Chase the outstanding compliance documents flagged on yesterday's report.
- Coordinate three interview times across candidates, consultants, and a hospital roster.
- Draft and post two job advertisements to the agreed boards.
What good looks like at 90 days
The recruitment CRM is trustworthy, compliance documents are chased to a checklist rather than from memory, and consultants start the week with a clean pipeline report rather than building one themselves.
Sector context
This role sits inside our medical recruitment sector work, where the same compliance discipline applies across coordinator, administration, and back-office roles.
The Arcbridge difference
You direct the work. Arcbridge holds the employment.
Australian workplace law considers the real working relationship between a business and a worker, not only the contract label. Where an Australian business directly engages an offshore contractor and the practical working relationship resembles employment, classification and Fair Work questions can arise. The Fair Work Commission has scrutinised arrangements of this kind.
Arcbridge is designed to reduce the practical risks of informal offshore contractor arrangements by placing employment, payroll, leave, HR administration, and employment-side process inside a managed structure. Arcbridge or its nominated employment entity employs the team member. The client receives capability and outputs through a service agreement rather than directly engaging an offshore worker.
This is the difference between an informal offshore engagement and a structured offshore team. It is general information only, and is not a substitute for tailored legal, workplace relations, tax, or migration advice on a client's specific arrangements.
Core responsibilities
- Maintain accurate candidate and client records in the recruitment CRM
- Coordinate interview scheduling between candidates, consultants, and hospitals
- Track and chase compliance documents, including AHPRA registration evidence where applicable
- Draft and post job advertisements to agreed job boards
- Prepare candidate submission packs to an agreed standard
- Produce weekly pipeline, compliance, and activity reports
- Manage the shared recruitment inbox and route enquiries
What this role is not
Clear scope protects the placement. These sit outside this brief, and we will say so before a call rather than after.
- This is not a billing or 360 consultant. The coordinator supports placements but does not own business development or close deals.
- It is not a compliance, migration, or registration advisory role. The coordinator chases and files documents to your checklist, it does not interpret eligibility.
- It is not a clinical role and makes no clinical judgements.
Best-fit profile
- Two or more years in recruitment, medical, or healthcare administration
- Confident in a CRM and comfortable learning new systems
- Strong written English and a careful, document-accurate working style
- Calm under a busy desk with competing deadlines
What Arcbridge screens for
Depth is the differentiation. These are the capabilities we test before a name reaches your shortlist.
CRM discipline
We test for accurate, consistent record keeping under time pressure, not just familiarity with a tool.
Compliance attention
We screen for the habit of chasing and verifying documents to a checklist, because medical recruitment lives or dies on credentialing.
Written English
We assess written communication directly, since this role manages inboxes, ads, and submission packs that represent your brand.
Coordination under load
We look for the ability to juggle scheduling across time zones and stakeholders without dropping detail.
How we measure success
The signals we hold this role to. These are quality and throughput measures the team member owns, not promises about your commercial results.
- Candidate and client records updated within one business day of contact
- Compliance documents chased to a checklist, with no lapsed credential reaching a submission
- Interview scheduling confirmed within agreed turnaround across all parties
- Weekly pipeline and compliance report delivered on the agreed day without prompting
Who holds what
The managed structure is the point. You direct the work and own the outputs. Arcbridge holds the employment relationship and everything that comes with it.
You direct
- Which desks and consultants the coordinator supports
- The CRM, templates, and submission standards they work to
- Priorities, approvals, and how candidates are represented to your clients
Arcbridge holds
- The employment relationship, payroll, and superannuation equivalent
- Leave, performance management, and HR administration
- Onboarding, equipment, and day-to-day pastoral support
The commercial case
A coordinator who holds the administrative load lets your billing consultants spend more hours on revenue-generating work. The managed structure means you get that capability without directly engaging an offshore worker.
