Why this role exists
A trades business earns when techs are on jobs. Every minute spent answering the phone, fumbling a booking, or dispatching the wrong tech to the wrong site is a minute of lost callout. Dispatch is fast, detail-driven work that benefits from a calm person who owns the board.
A dedicated dispatch coordinator answers the phone, books accurately, and gets the right tech to the right place, so the field stays productive.
A day in the role
- Take the morning's calls and book new jobs with accurate detail.
- Reshuffle the board around two cancellations and a same-day urgent.
- Send arrival-window updates to affected clients.
- Close out the day's board and flag the unscheduled work.
What good looks like at 90 days
The phone is answered every time, bookings are accurate, the board reflects reality, and techs arrive at the right job, at the right time, with the right detail.
Sector context
This role sits inside our trades and field services sector work, alongside quoting, billing, compliance, and subcontractor support.
The Arcbridge difference
You direct the work. Arcbridge holds the employment.
Australian workplace law considers the real working relationship between a business and a worker, not only the contract label. Where an Australian business directly engages an offshore contractor and the practical working relationship resembles employment, classification and Fair Work questions can arise. The Fair Work Commission has scrutinised arrangements of this kind.
Arcbridge is designed to reduce the practical risks of informal offshore contractor arrangements by placing employment, payroll, leave, HR administration, and employment-side process inside a managed structure. Arcbridge or its nominated employment entity employs the team member. The client receives capability and outputs through a service agreement rather than directly engaging an offshore worker.
This is the difference between an informal offshore engagement and a structured offshore team. It is general information only, and is not a substitute for tailored legal, workplace relations, tax, or migration advice on a client's specific arrangements.
Core responsibilities
- Answer calls and job enquiries promptly and professionally
- Book jobs into the system with accurate site, scope, and contact detail
- Dispatch field staff against priority, skills, and geography
- Manage cancellations, reschedules, and same-day changes
- Keep clients informed on arrival windows and delays
- Maintain the job board and follow-up list
- Report daily on dispatch coverage and unscheduled work
What this role is not
Clear scope protects the placement. These sit outside this brief, and we will say so before a call rather than after.
- This role coordinates the diary. It does not provide technical or trade advice to clients, which stays with your tradespeople.
- It is not authorised to commit to quoted prices or scope changes without your process.
- It does not manage or discipline field staff.
Best-fit profile
- Two or more years in dispatch, scheduling, or trades or services administration
- Calm and fast under a busy phone and changing priorities
- Clear spoken and written English
- Comfortable with field-service software and a dispatch board
What Arcbridge screens for
Depth is the differentiation. These are the capabilities we test before a name reaches your shortlist.
Dispatch under pressure
We test the ability to keep the board moving without losing accuracy, because dispatch breaks in real time.
Phone manner
We screen for a calm, helpful manner with clients who are often calling at a stressful moment.
Attention to detail
We assess accurate site, scope, and contact capture, because a wrong address or scope wastes a callout.
Systems fluency
We look for genuine comfort with field-service tools and the discipline to keep the board clean.
How we measure success
The signals we hold this role to. These are quality and throughput measures the team member owns, not promises about your commercial results.
- Calls answered within agreed timeframes, with messages handled same day
- Jobs booked with accurate site, scope, and contact detail
- Dispatch decisions made against priority and geography, not just availability
- Daily board kept current, with unscheduled work flagged
Who holds what
The managed structure is the point. You direct the work and own the outputs. Arcbridge holds the employment relationship and everything that comes with it.
You direct
- Your dispatch rules, priority categories, and service areas
- How clients are communicated with on arrival windows
- Which jobs and techs take priority
Arcbridge holds
- The employment relationship, payroll, and superannuation equivalent
- Leave, performance management, and HR administration
- Onboarding, equipment, and day-to-day pastoral support
The commercial case
A dedicated dispatcher protects callout efficiency, controls travel time, and keeps the diary full. Owners and field staff stay focused on the work, not on the phone. The managed structure delivers that capability without directly engaging an offshore worker.
